Office Assistant (Family Systems)

Program Assignment: Administrative

Immediate Supervisor: Director of Family Systems

Minimum Qualifications: High school graduate and two years of office experience in a computerized environment. Must be proficient in word processing and have an interest as well as an ability to learn to use software designed for administrative functions. Must be able to type a minimum of 60 words per minute.

Position Summary: Types session notes, as needed, from tape (transcription) or handwritten. Completes word processing jobs for the administrative staff as requested and performs editing functions for records maintained in the computer files. Performs miscellaneous clerical duties including answering phones, operating a copier, filing, ensuring session rooms are clean and assisting the FS staff with assigned support functions.

Primary Responsibilities:

  1. Uses the word processing or database software to prepare correspondence, complete forms, etc from handwritten documents, magnetic media or computer discs. Makes corrections for spelling, punctuation, and grammar as required.
  2. Creates Excel worksheets and performs data entry.
  3. Creates consumer files.
  4. Communicates with insurance companies through website or over the phone regarding claims, and rebilling.
  5. Completes form CMS-1500 and submits to insurance company for payment; processes payments from insurance company and consumer co-pays.
  6. Updates charts, rosters, worksheets and phone lists on a regular basis.
  7. Assists in new hire orientation
  8. Track training progress of staff and follows up with staff supervisors.
  9. Assists with the publication of a variety of brochures and newsletters and prints IME newsletter from website.

 Secondary Responsibilities:

  1. Assists with metering outgoing mail.
  2. Files documents according to procedures.
  3. Records, types and distributes minutes of monthly staff meetings.
  4. Provides back-up to clerical staff in satellite offices.
  5. Stocks materials and forms and completes hard-copy filing.
  6. Assists with projects and tasks that may be assigned

Position and Environmental Context Variables:

  1. The position requires the performance of tasks requiring visual, manual, communication and analytical abilities within a semi-independent work setting.
  2. Enters large amounts of information into forms. Must retrieve, modify, and store the information in the computer while working in an environment of numerous distractions while under deadlines.
  3. This is a full time salaried non-exempt position with normal office hours of 8:00 am until 5:00 pm.

  • To follow the directions of the Director of Family Systems or other managers in their intent as well as the specifics.

  • To continually learn how to use the computer system and the software available to maximize efficiency.
